How to plan a custom business system
Start with one operational bottleneck, map the current process and define the decisions the system must support. Identify the users, data, permissions and integrations before selecting technology. Agree a small first release and a measurable acceptance test, then trial it with the people who will use it every day.
What problem should the first release solve?

What information and permissions are needed?

Inventory the tools your team actually uses. Check available APIs, export formats, account access and integration costs. Keep useful tools when possible and document what happens if an integration is unavailable.
How do you know the system is ready?
Write acceptance scenarios using realistic sample data: create an inquiry, assign it, update its status and find the history. Test permissions and failure states as well as the normal workflow. Train the team and assign responsibility for ongoing maintenance.
